Procurement management is the strategic approach to managing and optimizing organizational spend. It involves acquiring quality goods and services from preferred vendors within a stipulated budget, on or before the deadline.
Project management for procurement is usually divided into four major processes: planning, selection, administering and closing procurements.
Procurement concentrates on the strategic process of product or service sourcing, for example researching, negotiation and planning, whilst the purchasing process focuses on how products and services are acquired and ordered, such as raising purchase orders and arranging payment.
The Five Pillars are:
1. VALUE FOR MONEY;
2. OPEN AND EFFECTIVE COMPETITION;
3. ETHICS AND FAIR DEALING;
4. ACCOUNTABILITY AND REPORTING;
5. EQUITY.
Procurement methods include competitive bidding, competitive proposals, requests for qualifications, and direct purchases. Competitive bidding is typically used for procurement of materials, supplies and equipment, maintenance and non-professional services, and construction.

Also known as a vendor portal, it is normally a web-based solution provided by the buyer organization to connect with third party suppliers of goods and/or services. It allows the vendor to perform self-service transactions like submit invoices, track payments, order updates, etc. Normally in a buyer organization, 90% of purchases happen from around 10% of suppliers whereas the remaining 90% of suppliers contribute to only 10% of the purchases. e.g. The moment you join any e-commerce website as supplier they will give access to their supplier portal for you to enter products, prices, stock, scheme etc.
A ChatBot is Chat Robot. It has conversational capabilities like humans and it can also connect to enterprise applications to extract data based on user requests.
Every native application (Web/Mobile app) has a different UI, resulting in a learning curve for the consumers hence putting them off from app-based culture. However, the supplier assistant is a chat-based UI like WhatsApp, Skype, Workplace etc. and these channels are growing in popularity.
A company without chatbots is considered old style, non modern, dying company. Most web based, mobile based ERPs will get outdated soon and will be replaced by ChatBOT-ERPs.

Many businesses have recognized the opportunity to lower costs by implementing supplier self-services through a “Supplier Portal”. As we look back on the past ten years of evolution of the “Supplier Portal”, still there is low adoption of such portals from a supplier point of view and this is because of some challenges mentioned in the table below.
The “Supplier Assistant/bot” can address many of the current challenges faced by a supplier and a buyer which can help in improving widespread adoption of the “Supplier Portal”.
It is very cumbersome to goto web or mobile app and do complex regisration, login and password management for different client portals for supplier. Whereas Chatbot is easy to access from website with less login/registrations hassles.
Buyer/Customer has to maintain seperate IT Department, servers etc. to maintain supplier portals and that adds costs. So it is better you provide simple 'Supplier Assistant ChatBOT' to your suppliers. Make life of your suppliers easy.
ERP systems used by enterprises are designed for access to internal user roles like employees, approvers, shoppers, accounts payable, etc. However, they are not good for external users like suppliers without any intermediate hub solution.
Due to the complex UI of business applications, users need a lot of training before they can use them productively. Chatbot has Simple human-like chat, will not require any training.
When a supplier has a new question/query, they need to call or email the support team. For calls, they need to call within working hours and for emails, they need to wait for the reply which may take a few days.
Supplier Assistant BOT has 24×7 availability, it will be able to check and provide an answer to the majority of questions like invoice status, payment status, and order details. This will result in lesser question/query volume.
Where the BOT is not able to provide the answer by themselves, the BOT will notify the relevant team members. This will speed up the process significantly resulting in cost saving.
When using the supplier portal, the supplier is normally provided with a single account which is used by multiple people within the supplier organization.
From the traceability point of view, it becomes difficult to find which sales or accounts personnel has performed the transaction due to a common account. Chatbot tracks users built in Vendor Database of ERP and provide easy access without creating users.
No stupid costly investments like Portal Team, Rest API, JSON, XML, RPA, Zapier, firewall changes etc. are required with MobileERP ChatbotERP.
